S-Files GEST
The complete client file, ready for the next inspection
S-Files GEST organises the vault around the client and their portfolio. Contracts, risk profiles and identification documents are kept together, with a record of who has viewed them.
Everyday life before S-Files
What we hear most often
These situations come up in almost every organisation we meet.
The scattered onboarding file
The identity document, proof of the source of funds and risk profile are archived in three different places.
Documents whose expiry nobody tracks
An identity document expires, a risk profile is five years old. Nobody notices until the inspection.
Rebuilding a file for an audit
Gathering the complete history of a client relationship ties up several people for days.
S-Files GEST
What changes once it is in place
The client file is compiled only once
All onboarding documents are filed under the client, whichever staff member adds them.
Expiry dates surface on their own
Expiry date and review date are stored as metadata. A task goes out before expiry, not after.
Every view leaves a trace
Who opened what, and when. The log can be read without a technical query, which makes inspections simpler.
An audit file produced in a single search
The complete history of a client relationship is compiled on demand, with its successive versions.
The documents S-Files GEST handles:
- Management agreements
- Risk profiles
- Identification documents
- Proof of source of funds
- Portfolio statements
- Client meeting reports
- Powers of attorney
Day to day
What changes in the working day
- An identity document is about to expire, and the task goes out before it does.
- You pull the complete file on a client relationship for an inspection.
- A staff member takes over a portfolio with its full history.
- The meeting report is filed under the right client as soon as the meeting ends.
The filing principle
A vault built around clients and portfolios
Documents are filed by client and by portfolio. Each document is tagged with its holder, its engagement and its expiry date, making it clear what needs to be renewed.

Frequently asked questions
What we are asked in wealth management
Where is our clients’ data hosted?
On your own servers or with a hosting provider in Switzerland, as you choose. This is settled at the scoping stage, before you commit to anything.
Can access to certain files be restricted?
Access rights follow the client and the portfolio, not the file’s location. Staff members see only the client relationships assigned to them.
Are document views logged?
Yes. Every opening and every change is logged, with the user and a timestamp.
